Job Description Title: Event and Catering Coordinator Regular Full Time: 40 hours/week Salary Hiring Range: $56K to $62K Grade: n/a Reports to: Culinary Leadership and Finance Department Exempt - yes Unit: Social Enterprise Start Date: Principal Responsibility: Under the general supervision of the Deputy Director and working in close collaboration with the Social Enterprise Task Force and the Development Department, the Event and Catering Coordinator oversees all the operations of the Key Room including but not limited to scheduling and coordinating Key Room rentals, market Key Room, sales of Halo products. Work with Fresh Starts Culinary Academy students on event procedures and train front of the house staff on all event procedures. Additionally, coordinate with the Finance Department on the monetary transactions involving sales of Halo products and rental fees in a timely manner. Responsibilities: Sales: Schedule events and coordinate Key Room rentals Work with customers to plan menus and room set-up Maintain a skillful working relationship with vendors Use the EOS/invoicing path with the prescribed software materials established by the finance department (QuickBooks, Outlook Calendar.) Prepare and provide all invoices in a timely manner Coordinate invoicing with Finance Department as necessary Process deposits and payments using Finance Department protocols Update event calendar weekly to share with culinary department Work with Development Department and Leadership Team to plan and coordinate all HB events Market Key Room and associated events to repeat and new customers Coordinate outreach and marketing targets with Development Team Coordinate Halo Truffle and Halo Homemade orders and sales, notifying chef regarding inventory Hospitality: Meet, greet, and welcome interested parties to the Key Room Create a welcoming environment for all who visit Train front of the house staff on all event procedures Manage event set-up and tear down; problem solve issues Represent Homeward Bound at events as needed Management: Work with Fresh Starts Culinary Academy students to establish standardized event procedures Train front of the house staff on all event procedures Plan agenda for Wednesday Culinary Meetings Competencies: • Excellent communication skills, written and verbal • Detail oriented and computer expertise in Word and Excel • Ability and commitment to work in a team environment • Experience with current audio / visual equipment • Experience in managing special events Qualities: • Hospitable, welcoming, generous spirit • Open to suggestions, ideas, and ways to improve operations • Equanimity (evenness of temper even under stress) and flexibility • Able to lift 40 pounds • Sense of humor Hours: 40 Hours/Week, Flexible Scheduled, based on all basic operational hours for event parameters EQUAL OPPORTUNITY At Homeward Bound we are committed to embracing diversity.
